The original and best-known STR data platform, tracking Airbnb and Vrbo listings across roughly 120,000 markets worldwide. Market-level occupancy, ADR, revenue, supply and demand trends, seasonality, and a market scoring system, plus the free Rentalizer revenue calculator (enter an address, get projected revenue, ADR, and occupancy from comp data). The standard reference point, and also the platform whose optimistic averages get debated endlessly on BiggerPockets. A free tier exists to start, and the paid research plan runs about $34 per month on annual billing at time of writing.
Every tool below was verified as live and accurately described as of early July 2026, with later additions checked in October 2026. Descriptions are functional, not promotional: what the tool does, who it is for, and anything worth knowing before you sign up. Pricing is noted only where it was clearly published; software pricing changes constantly, so treat every figure as "roughly, at time of writing" and confirm on the vendor's site. No affiliate links, no rankings, no pay-to-play. Tools are grouped by job, because that is how you should shop for them: figure out the job first, then pick the tool.

Market data and analytics
9 toolsThe professional-grade benchmarking platform used by property management companies and destination marketing organizations. Its distinguishing feature is the data source: alongside OTA data, it pulls reservation data directly from 80+ property management systems in a co-op model (more than 17,000 managers contribute, by its count), so its occupancy and ADR figures come from actual bookings rather than scraped listings. Tracks booking pace and forward-looking demand, with shareable owner reports. Built for PMs with real portfolios rather than single hosts; pricing is quote-based.
A free STR data platform aimed at investors, agents, and lenders. Enter any US address and get a revenue projection, occupancy, and ADR at no cost, plus free market-level data and ROI-style scoring across hundreds of US markets. Rabbu also runs an STR property marketplace. Notably, Rabbu projections (along with AirDNA's) are among the sources commonly accepted by DSCR lenders for underwriting, which makes it worth running even if you use other tools.
A real estate investment analytics platform covering both short-term and long-term rental performance for US properties. Its distinctive strength is the side-by-side STR vs. LTR comparison for a specific property, built on a blend of MLS data, valuation data, and Airbnb/Vrbo data, with neighborhood heatmaps and property search filters. Better suited to individual investors comparing strategies than to PMs running portfolios. Paid subscription, entry tiers in the tens of dollars per month.
A newer entrant whose pitch is free access to what others charge for: a global market atlas covering 190+ countries, listing-level analytics, long historical lookbacks, a revenue calculator, and even free AI dynamic pricing. Monetizes through a pay-as-you-go API for developers and enterprises. As with any free data product, cross-check its estimates against a second source before underwriting with them, but as a zero-cost research layer it is hard to argue with.
STR market analytics with global coverage, positioned as a more affordable alternative to AirDNA. Market trends, daily rates, occupancy, booking patterns, seasonality, and an income estimator. Offers a free plan with limited features and paid tiers above it. Strongest at market-level intelligence for investors scanning many locations; it does not do property management.
Summer's STR data and asset intelligence platform, aimed at investors and operators who want portfolio-level analytics layered over market data. Summer also publishes some of the more thorough head-to-head comparisons of the data tools above, which are useful reading even if you never buy the product.
A free, independent project that publishes scraped Airbnb listing datasets for a set of major cities, originally built to inform the regulation debate. Not a commercial analytics product and the data has documented limitations, but it is genuinely free, downloadable, and useful for anyone who wants to run their own analysis or learn what listing-level data looks like.
Not an STR tool: it is the standard quick-reference for long-term rental rent comps in a given area. It earns its place in this directory because every serious STR vs. LTR comparison needs a credible LTR rent number, and "what my neighbor charges" is not one. Paid, from about $59 per year at time of writing, with a free account for basic lookups.
Deal calculators and underwriting tools
4 toolsAirDNA's free address-level calculator: projected annual revenue, ADR, and occupancy built from nearby comp data. The most cited starting point, and the numbers most often accused of optimism, so treat its output as a ceiling rather than a base case.
An underwriting-focused calculator for investors, co-hosts, arbitrage operators, and agents. Enter an address (or paste a Zillow link) and it returns revenue projections for STR and LTR, up to 50 nearby comps, a full financial model with editable expenses and financing, and estimated tax deductions including bonus depreciation. Free tier available with paid plans above it. Its comp map view, which shows exactly which listings drive the estimate, is the feature that separates it from black-box calculators.
A free Airbnb calculator and analytics suite whose distinguishing feature is control over the assumptions: you can set your own purchase price, down payment, mortgage rate, and operating expenses, and the net income and cash flow figures recompute. No signup is required. Chalet monetizes by connecting users with STR-specialized real estate agents, lenders, and cost segregation providers, so expect that funnel.
A free address-level estimator whose claimed edge is the data source: booking performance from the 20,000+ rentals managed by RedAwning, which powers Awning, rather than scraped asking prices. Quick, free, US-wide, and best used as one more triangulation point alongside the tools above.
Dynamic pricing
5 toolsThe customization heavyweight. Deep rule control (minimum stays, gap-night handling, last-minute and far-future adjustments, portfolio-wide overrides) plus separately sold Market Dashboards that function as an affordable market-data product in their own right. Widely integrated with property management systems. Priced per listing per month (roughly $19.99 at time of writing) with dashboards sold separately from around $9.99 per month.
Notable for letting you mix rule-based and data-driven pricing strategies rather than forcing one, with an audited, exportable pricing engine and strong portfolio tooling (comp sets, market reports, a geospatial listing explorer). Two pricing models: a revenue share (1% of booking revenue) or a flat per-listing monthly fee, so light-booking listings and heavy ones can each pick the cheaper structure.
Formerly Beyond Pricing, and generally regarded as the most set-and-forget of the three: less granular customization, less dashboard time, a revenue-share model so you pay as a percentage of what you book, and a health-score feature that grades your pricing setup. A sensible pick for hosts who want the lift without wanting a new hobby.
AirDNA's own dynamic pricing product, built on its market data. You pick one of four named strategies, review the recommended nightly rates with a breakdown of why, and then switch on automatic syncing. It connects directly to Airbnb or through Hostaway, Guesty, Uplisting, and Hospitable. Connecting a listing and reviewing the recommendations is free; syncing costs about $20 per listing per month at time of writing, after a 30-day trial.
A revenue management system for vacation rental managers that pairs automated pricing tools (dynamic pricing, length-of-stay optimization) with an optional full-service option where its team runs revenue management for you. Pricing is not published.
Also worth knowing
Firms that run pricing for you rather than selling you software. Freewyld Foundry serves operators above $1 million in bookings on performance-based terms; Pacer supplies fractional revenue managers for portfolios of 10 or more units at a flat monthly fee per unit; Step By Step BNB offers revenue management and courses for hosts, co-hosts, and small managers; Pricing by Mira covers pricing, forecasting, and listing optimization for hosts and managers; Strategy Cues does revenue management and operational consulting for larger brands across 12+ countries; and TechTape combines a data platform with human-led revenue management. All of them operate the tools above on your behalf, so ask which one they use and who keeps the account if you part ways.
Listing optimization and search rank
2 toolsThe tool people mean when they say "Airbnb SEO software." Rankbreeze tracks where your listing actually ranks in Airbnb search results (daily), then gives you an optimization workflow around it: an A/B-style journal for testing one change at a time (cover photo, title, pet policy) against rank movement, an amenities analyzer showing which amenities correlate with top-ranked listings in your area, competitor tracking, and a market scanner. Also offers a Chrome extension for pulling performance data on listings while you browse Airbnb, an optional done-for-you listing optimization service, and built-in dynamic pricing rules. Priced per property, from about $9 per month for one to four properties at time of writing, falling with volume. The honest caveat that applies to the whole category: rank tracking is only measurable on Airbnb itself, and rank is an output of many inputs (pricing, reviews, conversion), so treat the tool as a measurement layer for your changes rather than a magic lever.
Pay-per-image photo editing rather than software: basic enhancement at about $2 an image, day-to-dusk conversion at about $5, and virtual staging at about $30 at time of writing, with no subscription. The same company makes SnapSnapSnap, a free iPhone app for shooting listing photos that charges per edit. Photos are the first thing a guest judges, and this is the cheapest way to fix weak ones short of hiring a photographer.
Property management systems and channel managers
24 toolsStarted as a messaging automation tool (formerly Smartbnb) and grew into a lightweight PMS. Known for the fastest setup in the category and excellent message automation out of the box. The usual fit is hosts with roughly 1 to 10 listings. A free tier now exists, with paid plans priced per property above it.
The all-in-one platform for growing portfolios: channel management, automation, reporting, direct booking sites, and one of the largest integration marketplaces in the industry. The default shortlist entry for operators in the roughly 10 to 100+ listing range. Subscription pricing by property count, quote-based.
The enterprise end of the category: deep automation, owner portals, payment processing, and a large marketplace, built for property management companies operating at scale. Generally the most expensive option and usually overkill below a few dozen listings, though it now also sells a Lite plan for one to three listings from about $9 per listing per month.
The power-user favorite, especially among hosts building a direct booking business: custom websites, payment processing, booking widgets, and an unusually flexible rules engine. The interface is famously dated and the learning curve real, but the per-property pricing is among the friendliest for small portfolios.
Built around direct bookings: a website builder with an integrated booking engine plus channel management. The natural pick when reducing OTA dependence is the primary goal.
A PMS notable for pairing property management with the product it was first known for: digital guidebooks, now sold as a paid add-on. Broad integration marketplace and a solid mid-market option, with plans starting at about $15 per property per month plus a platform fee at time of writing.
Automation-focused vacation rental software (messaging, calendar sync, task assignment) at a value price point, popular with self-managing hosts scaling past the point where the native Airbnb app suffices.
All-in-one channel manager and PMS with a clean interface, covering listings, bookings, guest communication, and direct booking sites. A frequent shortlist entry for small professional operators.
The budget automation layer: channel sync, automated messaging, cleaner scheduling, and pricing rules. About $30 per month for the first listing at time of writing, with each further listing adding $5 to $11. Sits between the native Airbnb app and a full PMS, and is often the first paid tool a one-to-five listing host adopts.
A standard choice for established US vacation rental managers. All-in-one: reservations, trust accounting, owner statements, a CRM with lead management, revenue tools, channel distribution, and mobile apps for housekeeping, guests, and owners. Part of Inhabit, which also owns Bluetent, so website and marketing services sit in the same family. Pricing by demo.
The enterprise platform from TravelNet Solutions. The PMS sits at the core, with the company's own CRM and call tools (TrackPulse), payments, distribution, and direct booking websites sold alongside it, plus more than 80 integrations. The pitch is a single vendor for a manager that has a reservations team and a marketing department. Priced by quote.
A cloud PMS from Expedia Group, the company behind Vrbo, aimed at management companies with roughly 25 to 2,500+ properties: reservations, rate management across 30+ distribution channels, trust accounting, an owner portal, and a performance dashboard. The natural fit for managers whose bookings lean heavily on Vrbo. Pricing is not published.
A long-running all-in-one for professional managers: reservations, trust accounting, CRM, an owner portal, e-signatures, direct connections to the major booking sites, and a website builder aimed at direct bookings. By its own count it has worked with nearly 800 management companies since 2008. Priced by quote.
Property and resort management software known for the depth of its trust accounting, handling short-term, mid-term, and timeshare operations in one system, with an extensive API. Built for larger and more complex operators: the company puts its average client at about 225 units and claims 95 percent retention. Priced by quote.
A Florida-based all-in-one operating since 2008, covering trust accounting, channel management, reservations, and guest messaging for professional managers. Pricing is not shown up front.
A European-rooted all-in-one for managers with 15 or more properties: PMS, a channel manager with 60+ connections, a unified inbox, an owner area, a booking engine with website design, and built-in revenue tools. Most relevant if you operate in Europe or across several countries.
A PMS and channel manager that spans hotels, B&Bs, and short-term rentals in about 70 countries, with dynamic pricing, automated messaging, an owner portal, and 200+ integrations. A fit for mixed lodging portfolios rather than pure vacation rental managers. Priced by quote.
Cloud software launched in 2000 for real estate and property management offices that run vacation rentals alongside their other business: trust accounting, online booking, tenant and owner portals, rental agreements, and work orders, for portfolios of 20 to 2,000+ units. Priced by quote.
A newer, AI-led PMS in which software agents handle guest messaging, sales, reviews, operations, owner relations, and distribution across 40+ channels. It can be bought as add-on apps on top of your existing PMS (about $10 to $20 per unit per month at time of writing) or as a full replacement by quote. Worth a look if automation is your priority; as with any young platform, ask for references at your portfolio size.
Also worth knowing
FeatherPMS, a newer all-in-one for operators with 10 or more properties, priced by demo; RNS, vacation rental software with purpose-built trust accounting that has been in the market since 1989; BrightSide, a PMS for 20 to 500+ properties that publishes its pricing, from $16 per unit per month falling to $10 at volume, with a $160 monthly minimum and a $1,000 setup fee at time of writing; LMPM, an enterprise PMS with real-time trust accounting and a WordPress direct booking integration; Virtual Resort Manager, an all-in-one with trust accounting, 150+ reports, and in-house digital marketing services; ThinkReservations, aimed at inns, B&Bs, boutique hotels, and mixed lodging; and Staylist, an AI-led platform covering vacation rentals, RV parks, hotels, and marinas.
Connects your existing PMS to 90+ booking platforms with real-time syncing of rates and availability, a unified guest inbox, and a website builder for direct bookings. Pricing is tiered by portfolio size.
A channel manager with 100+ channels, including Booking.com, Expedia, Airbnb, Vrbo, and Marriott's home rental program, serving vacation rentals, hotels, and holiday parks. Priced by quote.
A distribution-first platform with 26 connected channels and, unusually for the category, published pricing: $3 per unit per month plus 1.5 percent of bookings on the entry plan at time of writing, with a higher plan from $19 per unit per month plus 1 percent that adds recommended pricing.
Distributes professionally managed and owner-run homes to 50+ booking channels, with dynamic pricing, automated messaging, and 24/7 guest support included. Its site lists three service levels at 10, 15, and 18 percent at time of writing, the top one being full-service management; confirm what each covers. It reports more than 20,000 properties and also powers the Awning calculator in section 2.
Full-service distribution for property managers to Expedia, Booking.com, Airbnb, Vrbo, Agoda, Trip.com, and Hopper, plus loyalty channels such as Capital One, Hyatt, and Marriott. Pay for performance: the fee is a percentage of rent booked, across three service tiers. Rates are not published.
Cleaning and field operations
8 toolsThe category leader for turnover management, formerly TurnoverBnB. Auto-schedules cleanings from your booking calendar, handles cleaner assignment and automatic payment, enforces photo checklists, tracks inventory and problem reports, and runs a large marketplace for finding vetted local cleaners, which is its signature feature if you do not already have a crew. Free if you use only cleaners from its marketplace; adding your own cleaners costs about $10 per property per month beyond the first property at time of writing.
The property operations platform for managers who need more than cleaning: dynamic task scheduling from PMS reservation data, inspections with photo verification, maintenance tracking, staff coordination, and owner-facing reports. The standard choice as portfolios grow into real operations teams. A free tier exists and the entry paid plan starts at about $19 per unit per month at time of writing; the fuller operations plans are by quote.
Turnover management built around visual, turn-by-turn checklists and remote quality inspections, with a marketplace of vetted cleaners. About $12.99 per property per month at time of writing, at the low end of the category; a good fit for owners and smaller teams who care most about verifiable cleaning quality.
Cleaning and maintenance management that has grown into a broader AI property management product: schedule your own cleaners or find them through its marketplace, coordinate maintenance, and layer on guest and pricing tools. Its site advertises a 3.9 percent fee as the alternative to a traditional manager's 20 to 35 percent; confirm exactly what that covers before comparing.
An operations platform that ties smart devices to daily work: smart locks and thermostats, housekeeping and maintenance work orders, guest messaging, remote check-in, and task automation in one dashboard. Serves vacation rental and residential managers. Pricing is not published.
Turnover management for hosts and their cleaners: calendars synced from Airbnb and Vrbo, digital checklists with photo verification, messaging, multi-cleaner scheduling, inventory tracking, and payments, with an AI assistant that resolves scheduling conflicts and drafts checklists from listing photos. First property free, then from about $9.99 per month for two to three properties at time of writing.
An operations platform that creates jobs automatically for housekeeping, maintenance, inventory, and quality checks, tracks them in real time, and includes a marketplace of service providers. Available across the US. Plans vary by features and marketplace access, and pricing is not published.
Field operations software for large operators, roughly 200 units and up: it creates, prioritizes, and dispatches cleaning, maintenance, and inspection tasks automatically, reaches field staff by mobile app and WhatsApp, and handles invoicing. Integrates with Guesty, Hostaway, and Lodgify. Priced by demo.
Also worth knowing
ResortCleaning (housekeeping operations for larger vacation rental managers), Operto Teams (workforce and task management), EZcare (enterprise housekeeping and maintenance), Doinn (a hybrid of cleaning software and an on-demand cleaning workforce, strongest in Europe and Brazil), Proptonomy (AI that answers guests and dispatches cleaners and maintenance, integrated with Guesty, Hostaway, Uplisting, Lodgify, and Breezeway), and SuiteOp (guest journey, smart devices, screening, and maintenance in one dashboard). For homes with heated pools, Pool Pilot and AquaMind tie pool and spa heating to the booking so guests can pay for heat and it is not left running between stays.
Guest experience and direct booking growth
13 toolsThe best-known digital guidebook platform: a mobile-friendly web guide (no app download) carrying check-in instructions, WiFi, house rules, appliance help, and local recommendations, now with an AI chatbot that answers guest questions from your content, an upsell widget, guest analytics, and a review-prompt feature. The core promise is fewer repetitive guest messages, and customers report large reductions in inbound questions. Subscription with a free trial.
WiFi marketing for vacation rentals: guests log in to your property WiFi through a branded splash page, which captures their email (not just the booker's, but everyone in the group), feeding an email and SMS marketing engine aimed at converting OTA guests into future direct bookings. It can also route guests straight to your digital guidebook after login. The distinctive tool in the direct booking playbook because it solves the data problem (OTAs mask guest emails) at the physical property itself. Starts at about $19 per month, plus compatible WiFi hardware.
A guest experience platform that automates the digital guest journey: verification, upsells (early check-in, add-ons), smart lock and PMS integrations, and messaging, wrapped in a configurable "boarding pass" flow. Aimed at professional operators who want to monetize and standardize the stay beyond a guidebook.
Guest communication built around digital guidebooks, local area guides, and SMS automation, with a larger set of direct PMS integrations than most guidebook tools. A strong alternative when text-message-first communication and PMS syncing matter more than bells and whistles.
Automates the arrival-and-payment part of the stay: online check-in with ID verification, automated payment collection, security deposits, upsells, branded guidebooks, and smart lock codes. Free to start according to its site, with paid details on request.
AI guest messaging for hosts and small managers. It plugs into your PMS (Guesty, Hostaway, Hospitable, OwnerRez, Lodgify, and others), answers and troubleshoots guest questions around the clock, and can offer upsells. A third-party review puts it at roughly $7 to $12 per property per month. The caveat that applies to every tool of this kind: it is only as good as the property information you feed it, and an outdated detail gets repeated to guests until you correct it.
The same idea at the professional end: AI agents that handle guest conversations across email, text, WhatsApp, booking-site inboxes, social media, and voice calls, plus internal coordination. Aimed at hotels and established vacation rental operators, and it claims more than 300 customers. Priced by quote.
Guest messaging and an AI phone agent that came out of the hotel world and is also used by vacation rental operators: automated messages before, during, and after the stay, digital check-in, calls that can take reservations and payments, and integrations with 20+ PMS platforms. It claims more than 2,000 customers. Pricing is not shown up front.
A CRM and marketing platform for vacation rental managers: one inbox across email, text, WhatsApp, phone, and Airbnb, email and text marketing automation, lead management for a reservations team, AI voice agents, and WiFi email capture. Priced by quote.
A guest portal paired with a guest CRM: upsells, contact capture for every guest in the party, a digital house manual, and an AI agent that builds marketing campaigns to past guests. Integrates with Hostfully, Guesty, Hostaway, and Hospitable.
Review management: pulls reviews from Airbnb, Vrbo, Booking.com, and Google into one dashboard, tags them by theme and sentiment, drafts replies, and ties reviews to the cleaner or inspector on that stay so you can measure staff performance. Pricing is not published.
A guest activity program running since 1996. Partner managers offer guests free admissions to local attractions as an amenity, which differentiates the listing and gives the manager something to market. The company reports more than 170 management partners and over 3 million guests a year. Best suited to destination markets with plenty of attractions. Pricing by demo.
Add-ons for a manager's own booking website: a widget that shows the direct price against the same stay on the booking sites, a cart saver for abandoned bookings, a demand predictor, and a monitor for prices on other channels. 30-day free trial, with pricing discussed on a call.
Also worth knowing
The space is crowded and young, so check that a tool integrates with your PMS before anything else.
AI assistants for guest messages: ProhostAI covers messaging, cleaning tasks, upsells, and guidebooks, with a free tier and an all-in-one plan at about $15 per property per month at time of writing; Besty AI combines guest communication with revenue and operations automation; HelloHost drafts replies and integrates with OwnerRez, Hostaway, Guesty, Hospitable, and Streamline; STR Squad layers AI agents over your existing stack; and Linkbase adds automated check-in, smart lock codes, digital guides, and upsells on top of your PMS, from about $60 per month.
Guest marketing and repeat bookings: Yada builds email, text, and WhatsApp campaigns from your PMS data, and BookingsCloud automates direct booking marketing from property data. The Guestbook, a cash rewards program for direct bookings used by 900+ hotels, is expanding to short-term rentals. SolutionInc offers managed, branded WiFi with guest marketing as an alternative to StayFi.
Local experiences and upsells: Localbird, Triparound, VayKLife (gear and experiences), and Explorabout (which pays the manager a commission on bookings).
Reviews: Sparrow Intel sits alongside Reva, with reputation monitoring and replies at scale across the booking sites.
Visibility in AI assistants: Kismet and Nexa AI connect your availability and prices to assistants such as ChatGPT, Claude, and Gemini so a traveler can book direct from the conversation. This is a new category with little track record yet; neither publishes pricing.
Guest screening, monitoring, and protection
13 toolsFormerly Superhog. Guest screening (identity verification, risk checks) plus damage protection with claims resolution, advertised up to $1M per stay on its core protection, sold per booking and integrated with the major PMS platforms. The point of the category: OTA verification is thin, and direct bookings have none, so operators taking bookings across channels bring their own trust layer.
Guest screening and identity verification without bundled insurance: ID checks with face matching, background and registry checks, and risk scoring informed by its network of past screenings. It publishes per-verification pricing, from well under a dollar for a light-touch check to roughly $2 to $7 with criminal background screening at time of writing.
Guest screening combined with insurance: up to $1,000,000 in damage and liability cover per stay, with direct PMS integrations. Built for professional managers with 10 or more homes, with a separate program for smaller operators. Priced by quote.
Damage protection only. Plans run from $500 to $20,000 per stay and cover accidental and intentional guest damage, theft, and pet damage with no deductible. The usual use is replacing a security deposit with a small fee per booking. Pricing is not published.
Pet policy management: pet profiles, screening, a compliant process for assistance animal requests, and consistent pet fees. Used across long-term and vacation rentals, and described as no cost and no contract for the manager. Relevant if you accept pets and want fewer disputes about it.
Screening and ID verification with biometric checks, a green, yellow, or red risk rating for each guest, signed rental agreements, and deposit handling. The basic screening tier is free; the paid tier is about $29 per booking at time of writing and adds damage support of up to $20,000 for the lowest-risk guests. Integrates with Guesty, Hostfully, and Uplisting, with more announced.
A different kind of protection: booking income. It lets a manager offer flexible cancellation, and if a cancelled stay is not fully rebooked, Roam covers the eligible gap without a claim form. Insurance-backed and built for professional managers. Pricing is not published.
Camera-free property monitoring: a sensor that tracks noise levels, occupancy signals, indoor climate, and cigarette smoke risk without recording audio or video, paired with automated guest messaging when thresholds are crossed and optional escalation services. Strong PMS and platform integrations. The all-round pick for hosts who want monitoring plus automation in one device and subscription.
The original purpose-built STR noise monitor: privacy-safe decibel monitoring (no audio recorded), a proprietary noise risk score that weighs loudness and duration, occupancy detection, automated guest messaging on its higher tiers, and the category's only weatherproof outdoor sensor, which matters for pools, patios, and decks where problems actually start. Subscription per property.
Also worth knowing
Alertify (noise plus indoor smoking and vaping detection with battery backup), Party Squasher (occupancy estimation by counting mobile devices on the network), and StayGuard (alerts for unauthorized guests and occupancy breaches, synced through your PMS).
Access control software that works across lock brands (Schlage, Yale, Kwikset, and many more) and connects to PMS and booking platforms, so a unique code is issued and expired for each stay. Serves vacation rentals, multifamily, and commercial property.
Enterprise smart property control from a subsidiary of Alarm.com: locks, thermostats, leak detection, and cameras managed from one dashboard over a dedicated network, with integrations to 30+ property management systems. Built for large portfolios. Priced by quote.
A suite rather than a single product: Operto Access for mobile keys, contactless check-in, and smart lock integrations; Operto Guest for guidebooks and messaging; and Operto Teams for staff scheduling and maintenance (noted in section 6). Serves hotels and vacation rentals. Pricing is not published.
Also worth knowing
Lynx combines contactless check-in, in-home TV, and control of locks, thermostats, and sensors, and integrates with Track, Streamline, Guesty, Hostfully, Escapia, and Lodgify.
Short-term-rental-specific commercial insurance, replacing (not riding on top of) a homeowner's policy for properties operating as STRs. Included here because the standard forum discovery is painful: many homeowner policies exclude short-term rental activity, and platform protection programs are not insurance. Whatever provider you choose, the metric that matters is whether the policy explicitly covers STR commercial use.
Also worth knowing
Steadily sells landlord insurance that covers short-term rentals in all 50 states, with quotes online. Guest travel insurance is a separate product, sold to the guest at booking through the manager: RentalGuardian (part of Inhabit) builds travel and damage protection into PMS booking flows; Red Sky Travel Insurance sells destination-specific trip insurance through management companies; and Generali's travel protection, long sold through managers, now sits under the Redion brand.
Mid-term rental placement
1 toolsThe dominant listing platform for 30-day-plus furnished rentals, best known as the travel nurse housing marketplace but used broadly for corporate and relocation stays. Landlord pays a flat annual listing fee; there are no booking commissions, and tenants contact you directly. This is the standard demand channel behind the hybrid strategy many seasonal-market operators run: STR in peak season, mid-term placements through the shoulder and off-season.
Finance and bookkeeping
8 toolsRental property accounting and performance tracking for landlords: link accounts, auto-categorize income and expenses by property, and produce tax-ready reports and dashboards. Built for rentals generally rather than STRs specifically, but widely used by STR owners who want clean books without an accountant-grade tool. The core plan is free, with paid tiers from about $12 per month at time of writing.
Banking and financial management built for landlords: property-level bank accounts, bookkeeping, rent collection, and reporting in one place. Like Stessa, it is landlord-general rather than STR-specific, and the property-level account separation is the feature STR operators tend to adopt it for.
Lodging tax compliance for owners and managers: registration and licensing, working out the correct rate, then filing and remitting to each state, county, and city. The value is in the overlap, since one property can owe tax to three jurisdictions on different schedules. Sold as a subscription per property; pricing was not shown on the page reached while compiling this guide.
Lodging tax compliance built specifically for management companies and founded by a vacation rental manager: jurisdiction research, rate confirmation, calculation across every US jurisdiction in a portfolio, filing preparation, and audit documentation. Pricing is not published.
Trust accounting and bookkeeping automation for managers. It matches reservations to deposits, categorizes expenses by property, reconciles bank accounts, generates owner statements, and sends owner payouts. Connects to more than 20 PMS platforms, including Guesty, Hostaway, Hostfully, Lodgify, and OwnerRez, with QuickBooks export.
Spend management for managers: company and virtual cards, automatic coding of each expense to the right property, bill pay, and owner payout statements, synced to PMS platforms (Track, Streamline, Guesty, OwnerRez) and accounting software (QuickBooks Online, Xero, and others). Pricing comes from a calculator on its site.
Expense tracking for managers: log an expense from a receipt photo, apply your markup, and have monthly owner statements generated automatically, with links to PMS platforms and QuickBooks. Free trial; pricing is not shown up front.
An audit layer rather than an accounting system: it checks payouts, expenses, and owner statements for errors and miscoded charges before owners see them, works alongside any PMS, and offers optional tax filing reviewed by an accountant. Pricing follows a free audit.
Also worth knowing
If you would rather hand the books to someone, several firms specialize in short-term rental managers, including Host Allies, Keystone Bookkeepers, and Ximplifi. For card processing, Lynnbrook Group and Yapstone's VacationRentPayment are long-standing specialists. For trust accounts, Column is a bank with a program built for property and vacation rental managers.
Owner acquisition and portfolio growth
7 toolsThe specialist: the only company in this directory whose single job is growing a manager's inventory. It began as a done-for-you agency and now sells software in two parts. PIPER Data is pay-as-you-go owner data with no monthly fee: search any US market, filter by signals such as current manager, owner-operated rentals, review count, and rating, then pull owner names, mailing addresses, emails, and phone numbers. At time of writing a property record costs about $1, with an email or phone number about $0.10 extra. Vintory AI is the subscription layer (from roughly $295 per month, with data credits and postage billed separately) that generates postcards and cold email sequences in your brand voice, sends them, and tracks replies in a built-in CRM. It claims more than 1,000 management companies as customers. Read its case studies with its own caveat in mind: the company states they are among its strongest outcomes, not typical ones.
AirDNA's entry into the same job, and the natural pick if you already pay for its data. You filter listings by the signals that suggest an owner needs help (ratings below the market, low occupancy, static pricing, individually hosted), then request the owner's contact details from the same screen. AirDNA matches listings to physical addresses and enriches them from public records and licensed datasets. Billing is by credit and depends on how complete the match is; a listing with no match is not charged. US only, available within the Property Manager package, and priced by quote. Its edge is that the performance gap and the contact details sit in one tool, which makes the opening line of a pitch easy to write.
Launched in 2026 as an add-on to the KeyData dashboard. It combines ownership records with performance data across more than 3,000 US vacation rental markets, lets you filter properties by revenue, occupancy, pricing behavior, amenities, and location, and returns verified owner contact details for outreach. The pitch is selectivity: target the homes that would strengthen your portfolio rather than every owner in the zip code. Pricing is not published. Most relevant to managers already using KeyData for benchmarking.
Two products for professional managers. OwnerPoint is described as a complete owner acquisition platform combining data with turnkey marketing. Rentalz.com is a booking site that lists only professionally managed homes, with more than 100,000 properties in 300+ locations across the US, Canada, Central America, and the Caribbean. The public site says little about what data OwnerPoint draws on or what it costs, so ask both questions on the demo.
The other side of portfolio growth: keeping the owners you have. An owner management suite covering onboarding, reporting, and owner communication in one place, with partnerships with Streamline, Track, and Guesty. Built by managers. Pricing is not published.
Not an STR tool: a general US property data platform built for real estate investors, with ownership records, list building, and skip tracing (finding phone numbers and emails for an owner). It earns a mention because it is the do-it-yourself route. It does not know which homes are short-term rentals, so you bring the list of addresses and it supplies the owner and contact details. Plans start around $99 per month at time of writing, with skip tracing charged per contact on top.
The other general-purpose option: nationwide property and owner data with built-in direct mail, email, and phone outreach, popular with agents and investors who work a defined territory. Same limitation as PropStream for this job, since it has no short-term rental layer of its own. Plans start around $119 per month at time of writing, with a short free trial.

Several vacation rental marketing agencies sell owner acquisition as a managed service alongside guest marketing. Casavate and Villa Marketers both treat guest demand and homeowner growth as one program; Bluetent builds property management landing pages, direct mail, and email journeys aimed at owners; and Q4Launch offers homeowner acquisition marketing for destination managers. Three smaller specialists are worth adding to that list: Clickfire Marketing runs Google and Meta ad campaigns and landing pages built to generate homeowner leads; B2 Collaborative pairs guest marketing with owner acquisition work on sales automation, CRM management, and sales enablement; and Manzey Digital is a search and paid media consultancy, founded by a former Vintory and TravelNet Solutions executive, that covers owner acquisition and direct booking campaigns. All are quote-based and built for established management companies, not for a co-host with five units. Section 13 lists more agencies, several of which also run owner campaigns.
Furnishing and supplies purchasing
4 toolsA group purchasing organization for short-term rentals: members get negotiated pricing on furniture, mattresses, linens, and supplies, and the company claims average savings of about 39 percent per order. Membership is by application, with a free three-month trial; the fee after that was not shown on its site at time of writing. It doubles as a host community with a shared knowledge base.
A purchasing platform with 150+ brands at claimed discounts of up to 60 percent, one cart and one order history across many retailers, and a Showroom feature that lets guests buy the items they see in your property. Free to use, with no membership fee according to its site.
Furnishings and supplies sold through tiered quality checklists, so every home in a portfolio is stocked to the same standard, at claimed discounts of up to 75 percent off list price. Staff request inventory through its app and managers track orders from one dashboard.
Automated amenity restocking: it syncs with your PMS calendar, sees the upcoming turnovers, and ships toiletries, kitchen items, and welcome gifts ahead of them so nobody has to place orders. Built for managers with multiple properties. Pricing by quote.
Direct booking websites and marketing agencies
3 toolsA direct booking website builder for hosts: templates, your branding, and a setup the company puts at about 15 minutes. Integrates with OwnerRez, Hospitable, and Hostaway. From about $60 per month for two properties plus $8 for each additional one at time of writing, on an introductory offer.
A booking engine that turns a WordPress site into a direct booking site, synced in real time with Guesty, Hostaway, Hostfully, Hospitable, OwnerRez, Streamline, Track, and Lodgify. Flat monthly pricing with no commission, from $45 for up to five listings to $885 for 300 at time of writing. Made by Hudson Creative Studio, which also builds custom sites on it.
A London-based company that builds a custom WordPress booking site for you in about 30 days and adds CRM tools and training, with integrations to 27+ PMS platforms including Hostaway, Guesty, Lodgify, and Smoobu. Pricing is discussed on a call.

Agencies that build sites and run search, paid, and email marketing for vacation rental managers. ICND, based in Ocean Isle Beach, North Carolina, has served the industry since 1999; RealTech Webmasters builds PMS-integrated booking sites with marketing; Bluetent pairs websites with digital marketing and is part of Inhabit; BuildUp Bookings consults on search, social, and email; and Scurto Marketing, Bizcor, Studio82 Digital, and Rentamira offer similar services. An agency cannot fix a slow site or a weak offer, so before signing, confirm that you own the domain, the ad accounts, and the email list.
Booking channels beyond the big three
5 toolsMarriott's home rental program, which puts homes from professional management companies, rather than individual hosts, in front of its loyalty members. Access runs through connectivity partners; NextPax and VacayHome Connect in section 5 both list Marriott among their channels.
A last-minute marketplace: discounted stays inside a 30-day booking window, aimed at filling gap nights and cancellations without touching your prices elsewhere. Commission is not published.
Formerly bnbfinder. A marketplace where guests book direct with professional property managers, with no guest markup added by the platform. Individual hosts cannot list. Manager fees are not shown up front.
A listing site for professionally managed rentals only, with no booking fees charged to guests, covering 40+ destinations in the US and the UK.
A private network that connects travel advisors with vetted, professionally managed rentals. Advisors book for their clients and earn a commission, which opens a referral channel most managers have never had. Listing is by application.

Hiring and remote staffing
3 toolsHospitality-trained remote staff backed by AI for guest communications across text, email, booking-site inboxes, and phone. Sold either as shared 24/7 coverage or as dedicated team members trained on your properties. It reports serving more than 50,000 properties. Priced by quote.
A recruiting platform focused on the vacation rental industry, using behavioral assessments to match candidates. It works on an annual partnership with no per-placement fee and reports more than 600 companies served.
Full-time virtual assistants trained by Superhosts for guest communication, listing management, and day-to-day tasks, from $899 per month at time of writing. Aimed at hosts and small operators.

BrightDrop places virtual assistants from the Philippines and Latin America on month-to-month terms, and Telostaff places full-time remote staff from the Philippines from about $2,300 per month, though it is not specific to rentals.

How to Read This Directory
Figure out what you need done first, then pick the tool. That is why everything above is grouped by job, not ranked.
Market-data estimates for the same market will not match each other. Run at least two before believing either, and underwrite off the conservative one.
Pricing is noted only where it was clearly published. Treat every figure as roughly right at time of writing and confirm it on the vendor's site.
No tool paid for placement, no links are affiliate links, and every outbound link is nofollow. Nothing here is ranked.
How to think about your stack
Smaller than the software industry wants you to believe: one pricing tool (section 3), one automation or PMS layer (section 5), one cleaning coordinator (section 6), a guidebook (section 7), and a monitoring device (section 8). Use the free data tools in sections 1 and 2 for research.
The PMS becomes the spine and everything else plugs into it, so choose it first. Start with section 5 and check every other tool's integrations against it.
Add one owner acquisition source from section 11 and treat it as a separate budget from guest marketing.
At every size, the same gap remains: the tools generate the numbers, and someone still has to read them against your actual comp set and decide what to do this month. If you want that read done for your portfolio, that is exactly the work behind the free teardown offered at the end of this guide's companion book.
Frequently asked questions
What software does a short-term rental host actually need?
Less than the software industry wants you to believe. A workable stack at 1 to 5 listings is one pricing tool, one automation or PMS layer, one cleaning coordinator, a guidebook, and a monitoring device, with the free data tools for research. Past ten listings, the PMS becomes the spine and everything else plugs into it.
Which short-term rental data tools are free?
AirDNA has a free tier and a free Rentalizer calculator. Rabbu, AirROI, Chalet, and Inside Airbnb are free, Airbtics has a free plan with limited features, BNBCalc has a free tier, and the Awning calculator is free. Rentometer, which covers long-term rent comps, has a free account for basic lookups. Their estimates for the same market will not match each other, so use at least two before believing either.
What is the difference between PriceLabs, Wheelhouse, and Beyond?
All three set nightly rates automatically from comp pricing, booking curves, seasonality, and demand signals, and in all three you still set the base price and aggressiveness. PriceLabs is the customization heavyweight and is priced per listing per month. Wheelhouse lets you mix rule-based and data-driven pricing and offers either a revenue share or a flat per-listing fee. Beyond is generally regarded as the most set-and-forget and uses a revenue-share model.
Do I need a property management system (PMS)?
Once you pass two or three listings, usually yes. A PMS handles calendar sync across Airbnb, Vrbo, and Booking.com, a unified inbox, automated messaging, task management, and reporting. The consistent advice from hosts is to pick the PMS first, because everything else in your stack has to integrate with it. Hospitable is the usual fit for roughly 1 to 10 listings, Hostaway for roughly 10 to 100 or more, and Guesty is built for management companies at scale.
What tools help property managers sign new homeowners?
The category splits three ways: data products that tell you who owns a rental and how to reach them, platforms that add the outreach itself, and agencies that run the whole program for a retainer. Vintory, AirDNA's Property Manager package, and KeyData Owner Acquisition are listed in section 11. All of them fill the top of the funnel and stop there, and outreach to individual homeowners is regulated, so check the rules for your channel before the first send.
Does this directory include affiliate links or paid placements?
No. No tool listed here paid for placement, no links are affiliate links, and nothing is ranked. Every outbound link is marked nofollow.
How current are the prices and descriptions?
Every tool was verified as live in July 2026, with later additions checked in October 2026. Pricing is noted only where it was clearly published, and software pricing changes constantly, so treat every figure as roughly right at the time of writing and confirm it on the vendor's site.
Can these tools tell me what to do in my market?
No. Tools produce data and automation, but none of them tells you what to do in your specific market with your specific comp set. That interpretation layer is a separate job, and it is the work behind STR Intel's free listing teardown.
The Tools Give You Numbers. What Do They Say About Your Listing?
A directory tells you what exists. A teardown tells you what to do. If you own or manage a short-term rental in the Southeast, we'll put your listing next to the comps it actually competes with and show you the gaps, free.
